By the end of this guide, you'll have ChatGPT set up to handle every piece of business writing you dread: detention letters, dispute emails, invoice cover letters, broker introductions, carrier profile text, and more. Instead of staring at a blank email for 20 minutes, you'll get a professional draft in 30 seconds that you can send as-is or tweak.
What you'll need
Go to chatgpt.com on your phone or computer. Click "Sign up" and create a free account. Verify your email and log in.
What you should see: A chat interface with a text input box and conversation history in the left sidebar.
Start a new conversation and type this template with your own details filled in:
My name is [Your Name]. I'm a CDL-A owner-operator with these business details:
- Company name: [Your LLC or DBA name]
- MC Number: [Your MC#]
- DOT Number: [Your USDOT#]
- Home base: [Your city, state]
- Equipment: [e.g., 2020 Peterbilt 389, 53' dry van]
- Phone: [Your number]
- Email: [Your email]
When I ask you to write business communications, use my name and company details. Keep the tone professional but direct. I'm communicating with freight brokers, shippers, and receivers.
What you should see: ChatGPT confirms it has your details and is ready to write.
From now on in the same conversation, just describe what you need and ChatGPT drafts it:

Read the draft — ChatGPT usually gets it right or close. If anything is off, say: "Make it more firm" or "Add a reference to the signed rate confirmation" or "Shorten this to 3 sentences."
In the left sidebar, find this conversation and rename it "Business Writing Template" by clicking the three dots next to it. Come back to this same conversation every time you need to write something — ChatGPT remembers your business details within the conversation.
Detention pay request: "Write a detention pay request to [broker]. I had a [time] appointment. They started loading at [time]. Detention rate is $75/hour after 2 free hours."
Broker introduction: "Write a short carrier introduction email for a new broker. I want to emphasize my clean safety record, my preferred lanes [list them], and my equipment."
Load board carrier profile: "Write a 3-sentence carrier profile for my DAT listing that highlights my experience, equipment, and preferred lanes."
Rate confirmation follow-up: "Write a short email to a broker: I delivered [load] and haven't received payment in 30 days. Request an update and confirm my banking details."
Lumper reimbursement request: "Write a request to [broker] for lumper reimbursement of $225 — I have the receipt from [company]."
